Flexitallic LLC (UAE) – Shipping Coordinator
Location: Flexitallic LLC, Ras Al-Khaimah, UAE
Position Type: Full time
Purpose
Support Customer Service / Regional Sales Managers to actively promote/market Flexitallic (company) and its Products and Services without compromising on company’s core values. Provide a high level of service to customers with efficient and Prompt communications. In & Outward material are handled with high level of efficiency and are also in line with Organizational and legal requirements
KEY TASKS
- Protect and grow the business in compliance with company’s strategy.
- Work closely with the external sale team, be involved in retaining all existing accounts and maintain regular contact with customers, as necessary.
- Support external Sales process to develop/acquire new customers.
- Negotiate with shipping companies to get the lowest rate.
- Booking Process of Freight Forwarders and shipping agents,
- Organize collections/deliveries.
Preparation of shipping documentation and invoicing as per company procedures. - Proactive communication/Follow-up with customers on daily basis to pick the material on time.
- Co-ordinate with dispatch team/shipping agent to ship all the material on time to meet the daily/monthly forecast/targets.
- Maintain appropriate records of shipping activities.
- Daily raw materials adjustment out in QAD based on Store Requisition Note form from Production.
- Goods receiving – all the Purchase Orders to be received in QAD as well as to be allocated to the Sales Orders.
- Daily materials in QAD/business based on SMR from Production. (Occasional task).
- Update Open Order Book on daily basis.
- Deal with all customer complaints in a friendly and helpful manner and report to Quality Manager.
- Daily reporting of in and outward shipments, status of all supplier Purchase Order Status, Monthly on Time Delivery Report, and any others as necessary.
- Strictly follow company’s “Trade compliance Procedure” and make sure to do the business only if legally and ethically correct.
- Establish and maintain effective working relationships with customers and co-workers.
- Be proactive in the conversation of quote to cash process.
- Apply certificate of origin in the portal.
- Chase Bill of Exit (BOE) from non-UAE customer.
- Apply Duty Exemption.
- Inform the manager proactively of any outstanding issues/customer concerns/delays in orders from suppliers. Log feedback from customers on quotes/offers and keep accurate records in an easily accessible manner.
- Monitor the enquiries and letters from the government portals and appropriate right actions.
- File the necessary documents daily soon after the dispatch and later store them in the record room.
- Any other duties assigned by the top management that are deemed necessary to grow the business in the region.
Key Health & Safety/Housekeeping Tasks
- Adhere to company stated policies and procedures relating to health & safety and quality management. Ensure that individual housekeeping is maintained to high standards.
Experience / Skills
- Minimum of 2-3 years’ experience in Customer Service, Shipping, Inventory Management & reporting.
Must be commercially astute. - Excellent communication in English.
- Working proficiency in Microsoft office and any ERP/business system.
Desirable
- Experience in the gasket industry
- Some knowledge of selling technical/engineered solutions or engineering background would be advantageous.
Essential Qualifications
- Degree or Diploma in Materials Management
- Degree or Diploma in Foreign Trade would be advantageous
